Section 1 - Company identity

The terms “WeTranslate”, “wetranslate.pro”, “website”, “company”, “firm”, “company”, represent the WeTranslate company. The details of WeTrasnalte company are:

  • WeTranslate Complete Solutions SRL – with the working point located in Bucharest, B-dul. Nicolae Bălcescu, Nr. 5, Bl. Dunărea 1, Sc. 1. Et. 1, Ap. 1, Sector 1, registered with the Trade Register under the no. J40/1811/2015, VAT paying company, CIF RO 34110946

By the terms “user”, “visitor”, “customer” we mean all people who access wetranslate.pro, for any reason.

The terms “Regulation”, “Agreement”, “Terms and Conditions” are used to designate this agreement.

The wetranslate.pro website and all its content, as well as any other subdomains adjacent to it, are the exclusive property of WeTranslate Complete Solutions SRL.

In the content of these terms and conditions, the site is indicated by the phrase “WeTranslate” and / or “wetranslate.pro”.

Section 2 - Acceptance of the user agreement

WeTranslate Services is provided subject to your acceptance, without modification, of the terms and conditions of this Agreement.


By using wetranslate.ro and / or any service offered by WeTranslate, it is considered that the user has read, understood and fully accepted the terms and conditions of use of the website and the services offered by WeTranslate.


By sending any type of information and / or files to WeTranslate (through contact forms, through the chat application, directly by email), the user expressly and in advance gives his consent to the processing of data transmitted to WeTranslate, which will be used by WeTranslate strictly for the purpose of providing the requested services.


The user’s agreement applies to the entire wetranslate.ro website, the subdomains adjacent to it, their content, as well as the services offered by WeTranslate.


If you submit any information and / or documents to WeTranslate, regardless of the method and you have not read the terms and conditions of use, it will automatically be considered that you have accepted this set of Terms and Conditions.

Your continued use of the WeTranslate services constitutes your acceptance of the provisions of this agreement and WeTranslate will NOT ASSUME RESPONSIBILITY for the user’s failure to read the Terms and Conditions detailed on this page.


If you do not accept the terms and conditions detailed in this “Terms and Conditions” page, please do not use wetranslate.ro and the services offered through it.


By using the WeTranslate website, you indicate and expressly agree that you accept, agree to and abide by the “Terms and Conditions” of using the website.

Section 3 - Services provided, placing and confirming orders
WeTranslate offers its users and customers the following types of services:


  • Authorised / Certified / Legalised Translations (depending on the client’s requirement and need);
  • Related notarial services (notarial legalisation, certain date, apostille);
  • Transcription / Subtitle video / audio files;
  • Consecutive / Simultaneous Interpreting;
  • Technical equipment and dedicated support for simultaneous interpretation.
Requests for a quotation


Requests for offers, as well as additional information for the services we provide, may be requested in the following ways:

  • Through the contact forms visible on the website pages;
  • Through the chat app visible in the lower right corner
  • By email, to the addresses available on the website;
  • By telephone, at the numbers available on the website pages.

After sending the request for quotation, the customer will be contacted as soon as possible by a member of the WeTranslate team, for further clarifications (if necessary) and will receive the requested offer on the email address provided.


All requests sent by customers are managed through the Zoho Desk platform (in the ticketing system), and the email address to which requests are sent and from which requests are received is comenzi@wetranslate.ro.


The platform through which the requests are managed will be accessed from the page https://desk.wetranslate.ro/


By filling in the contact form / sending by email the request for offer and / or the information / documents underlying the provision of the requested services, the Customer declares and assumes responsibility that all data / information / documents provided by him are correct, complete and true .


Also, by filling in the contact form / sending by email the request for offer, the customer agrees that WeTranslate can contact him, by phone or by email, in order to honor the offer and / or the requested services.


Confirmation of the offer and execution of services


he order confirmation from the customer will be made by email, based on the offer sent by WeTranslate also by email. he execution process of the services requested and confirmed by the customer will be started after the payment of the fiscal invoice issued by WeTranslate and after the confirmation of the collection of the invoiced amount.


WeTranslate may cancel the offer sent to the customer and the services offered to him, following a prior notification, without any subsequent obligation of one party to the other or without any party being able to claim damages from the other, in the following situations:

  • Invalidation / non-acceptance by the bank of the transaction, which leads to non-collection of the invoiced amount, in case of payment by bank transfer;
  • Invalidation / non-acceptance of the card transaction, by the payment processor MobilPay, which leads to non-collection of the invoiced amount;
  • The data provided by the customer are incomplete and / or incorrect;
  • The client does not pay the value of the requested services;

In the execution of the services requested by the client, WeTranslate has the right and may subcontract to a third party, in part or in full (collaborating translators / interpreters, rental companies of technical interpretation equipment, courier companies, travel agencies, etc.), services related the honor and execution of the services requested by the client, not requiring the client’s consent in this regard.


In the execution of the services requested by the customer, WeTranslate may provide the personal data of the customer, to the categories of third parties mentioned above, with which it is in contractual relations and which have previously assumed a commitment / agreement / confidentiality agreement and only for the purposes of providing the services requested by the Client.


Each third party assumes the responsibility to keep the personal data to which it has access secure.


Even in these situations, WeTranslate assumes responsibility towards the customer, for all contractual obligations assumed towards him, for the execution and delivery of the services requested by the customer and confirmed by WeTranslate.


Section 4 - Calculation method for translations and interpreting

Following the submission of documents that require translation, an evaluation of the number of pages will be performed, an evaluation that will be done to the source text / document (untranslated) and which will be an estimate.


The translation services will be charged for the number of pages resulting in the translated document (target), and there may be differences between the estimated number of pages for the untranslated document, compared to the translated document.


The method of calculation and pricing and the translated content apply depending on the type of document, as follows:

  • Standardised – pricing is done on the physical page resulting from the translation (birth certificates, marriage, identity documents, citizenship, marital status, bulletin, passport, identity card, etc.);
  • Non-Standard – pricing is done to the number of characters with spaces in the translated document, where an A4 page contains 2,000 characters with spaces for the non-Asian alphabet and 600 symbols for the Asian alphabet;
  • PowerPoint – charging will be done on the number of slides if the translated content is less than 2,000 characters with spaces or on the number of pages resulting from dividing the total number of characters with spaces by 2,000 (if there are more than 2,000 characters / slide) ;
  • Graphics elements – pages that contain graphics and little text will be priced as 1 physical page;


The method of calculation and charging for interpreting services is:

  • Tariff per hour / performer (in number of hours) – if the duration is less than 4 hours;
  • Rate per day / performer(number of days) – if the duration is longer than 4 hours or more days are required;

In the case of simultaneous interpreting services, 2 (two) interpreters are required and the cost of interpreters does not cover the technical equipment (if required), which has separate costs.


If, after completing the process, there will be a difference in the number of pages compared to the estimated number of pages, plus or minus, the total cost of the services provided will be recalculated, by refunding the value paid in addition or by issuing a difference invoices, between the initially estimated number of pages and the final number of pages resulting from the translation, as appropriate.


Section 5 - How to invoice and pay tax invoices
Issuance of fiscal invoices / fiscal vouchers


After the order is confirmed by the customer, a tax invoice / tax receipt will be issued in advance, with the full amount mentioned in the submitted offer (or with the partial payment in advance, depending on the submitted offer). The following mandatory information is required to issue an invoice:

  • For Individuals: name, surname and full address (please DO NOT send the identity document, for issuing the invoice!)
  • For Legal Entities: company name, CIF (Fiscal Code), full address

The tax invoice will be issued on one of the 2 companies mentioned in the introductory part of this page, depending on its value and the type of customer.


Given the annual turnover limit for non-VAT companies, WeTranslate reserves the right to decide from which company to issue the customer the tax invoice, depending on the total value of invoices issued in that calendar year, for the non-VAT company (WeTranslate More Than Words SRL).


Invoices are issued through the Smart Bill Cloud platform and data stored in the Smart Bill is in the data centers in Ireland and Germany of Amazon Web Services, Inc. Seattle, WA 98124-8423, US which is certified in the US-EU data protection program, called Privacy Shield. Amazon Web Services is the world’s largest provider of cloud infrastructure and is GDPR-compliant.


By confirming the order, the customer agrees to the transmission of the information mentioned above, and WeTranslate declares and guarantees that the data required for issuing the tax invoice will be used strictly for issuing the tax invoice, in accordance with the Tax Code in force.


Methods of payment of tax invoices


  • Online with the card, directly from the invoice (Mastercard or Visa) – payment is made through the MobilPay platform (Netopia) in about 20 seconds, payment is confirmed in just a few seconds and is made securely, through the 3D Secure trading method.
  • By bank transfer, in the bank account of WeTranslate mentioned in the fiscal invoice, opened at Unicredit Bank;
  • In cash at the WeTranslate office (working point) mentioned in the introductory part of this page;
  • By POS (by card) at the WeTranslate office (working point) mentioned in the introductory part of this page;
  • By depositing cash in the WeTranslate bank account, in which case the customer will also bear the commission charged by the bank for the cash deposit.
Section 6 - Order Cancelation

Cancellation of Offers and Services at WeTranslate’s Initiative

WeTranslate reserves the right to cancel the offer sent to the client, the services provided to them, and the confirmed order, following prior notification, without any further obligation from either party towards the other or without either party being able to claim damages from the other, if:
  • The data provided by the client is incomplete and/or incorrect (incorrect phone number, incorrect email, etc.);
  • The client does not respond to emails or phone calls made by WeTranslate within the time frame mentioned in the sent offers;
  • The client expresses subsequent disapproval of the services they intended to order;
  • The client exhibits inappropriate, unprofessional behavior and/or behavior that contradicts WeTranslate’s values;
  • The client does not pay for the requested services within the period mentioned in the offer;
In the event that the client has paid in advance (partially or fully) for the services and the order is canceled at WeTranslate’s initiative, the client will be asked to provide a bank account opened in Romania, where the full amount paid will be refunded within 5 working days.

Order cancellation at the client’s initiative

Order cancellations can be made under the following conditions, depending on the type of services, as follows:
    1. Authorized Translations / Legalized / Subtitling / Transcription
      • Free Cancellation → no cost to the client, if the order has not been confirmed and the services have not been paid for;
      • 50% Refund of the order value → in case of cancellation after payment of services, if the order has not been placed with the translator(s);
      • 20% Refund of the order value → in case of cancellation after payment for services, if the order has been placed with the translator(s) – regardless of the execution stage of the order;
In the case of cancellations where penalties are calculated, a partial credit invoice will be issued, from which the value of the penalties will be deducted (to cover the order processing costs, translator costs, etc.), the difference being refunded to the client via bank transfer to the Beneficiary’s account for which the fiscal invoice was issued, within 5 working days.  
  1. Simultaneous / Consecutive Interpretation
    • Cancellation after order confirmation and interpreter reservation → will incur a penalty of 100% of the order value, to compensate for the interpreter’s time, who can no longer take another order during the reserved time slot;
Section 7 - Correspondence and electronic contact
Correspondence by email / contact forms


The WeTranslate website contains contact forms through which you can contact us electronically.


The data requested when filling in the contact forms are:

  • Name / surname or company name
  • Email address
  • Contact number
  • Type and information about the requested services
  • Additional information provided by the user about the requested services (optional)
  • The option to upload the files / information that are the subject of the requested services

When one of the forms is completed, all completed and provided information will be emailed to the WeTranslate team.


The system will automatically send the message from one of the WeTranslate email addresses: comenzi@wetranslate.ro, careers@wetranslate.ro, invoice@wetranslate.ro, depending on the specifics of the page where the form was completed.


104 / 5000 Translation results Each field where attachments can be uploaded to the contact forms has the following characteristics:

  • Allowed file extensions: .pdf / .txt / .doc / .docx / .pages / .numbers / .tiff / .tif / .xls / .xlsx / .jpg / .jpeg / .png / .rar / .zip / .ppt / .pptx
  • Multiple files can be selected from within the same location (folder) and will be grouped by the system as a ZIP archive
  • The maximum attachment size for each field is a maximum of 40MB.

The data / information containing the transmitted messages, as well as the answers provided by WeTranslate will be stored and processed until the issues discussed are considered clarified by the two Parties and for an additional period of at least 1 year after this date, being stored in an electronic archive.


The official email addresses of WeTranslate will always contain the extension @ wetranslate.ro (eg comenzi@wetranslate.ro).


Correspondence through the chat application


WeTranslate provides users with a chat application created by Zoho Corporation Pvt. Ltd., with secure access, which can be accessed both on the desktop and on mobile devices, the conversations being secure.


For security reasons, uploading files is not allowed through the Chat application, as they can only be sent via contact forms.

Section 8 - Company Rights

WeTranslate provides free information about the services provided to all users who access this website. WeTranslate reserves the right to restrict the use of any website service for commercial purposes.


WeTranslate reserves the right to change the terms and conditions of the services at certain intervals, without the obligation to notify users, the new terms and conditions being displayed on the page related to that service. Such changes will be brought to the attention of visitors by posting on the pages of the wetranslate.ro site. Changes are considered accepted by users if they continue to use the website after they are displayed.


WeTranslate also reserves the right to change or supplement the rules and restrictions on the content of the website at any time, as well as the right to modify or update any service or right to use any service at any time without notice.


WeTranslate reserves the right to run advertising campaigns and / or promotions at any time in any section of the site. Such campaigns and promotions do not require the consent of visitors or users of the wetranslate.ro website.


Also, the size of advertising campaigns and promotions, as well as the space intended for them within the wetranslate.ro website, do not require the consent of users and can be changed at any time, without prior notice to users.

The entire content of the wetranslate.ro website represents the exclusive property of WeTranslate Complete Solutions SRL, being protected in accordance with law no. 8 / 14.03.1996 on Copyright and Related Rights, as subsequently amended and supplemented, and may not be copied, taken over, distributed, sold or resold without the express written consent of WeTranslate.

Users can use the content of the wetranslate.ro website only for informational purposes and to purchase the services offered by WeTranslate.

Except as mentioned above, the content of the WeTranslate website may not be copied, downloaded, distributed, sold / resold, reproduced, modified and exploited, in whole or in part, regardless of the commercial or non-commercial purpose of this operation.

Actions such as those mentioned below are not permitted to any user, unless prior written permission has been obtained from the Legal Administrator of WeTranslate:

  • Reproduction, copying, retrieval or storage of the content / information, as well as sending this content to any other site, server or any other means of storing the information.
  • Modifying, exploiting, publishing, transmitting, as well as participating in the transfer, sale and / or distribution of materials made by reproducing, modifying or displaying the content of the WeTranslate website.
  • Removal of WeTranslate’s copyrighted content.

Any use of the content of the WeTranslate website for purposes other than those expressly permitted by this document is strictly prohibited. Requests to use the content for purposes other than those expressly permitted by this document may be sent to the email address: contact@wetranslate.ro

It is also strictly forbidden to use automated means, including scripts, robot applications, bot, spider, crawler and / or any computer applications / programs that may deceive or simulate certain activities / processes of the WeTranslate website or , in any way, exploits certain functions or vulnerabilities of the WeTranslate website in order to obtain advantages, for itself or for other users or third parties, in terms of using the WeTranslate website or accessing and using any Services.

Pictures and images displayed on the WeTranslate website are purchased by WeTranslate under a license from,  Shutterstock Netherlands, B.V. and Freepik Company, S.L.

Any natural or legal person, who infringes the intellectual property rights, by copying the content in whole or in part, copying the format of the pages, identical or partial reproduction of the design of the pages wetranslate.ro, regardless of the version of content that existed in the past or the current version, will be bound by the competent courts, at payment of damages to WeTranslate, in the amount of turnover cumulated for both companies in the WeTranslate group, in the last 5 years, but not less than 1,000,000 Euros.

Section 10 - Protection and confidentiality of personal data

All data / information / documents received from visitors / users / customers, are considered confidential and will be managed in strict confidentiality, with the application of the provisions of Art.6 alin.1 lit. f) of Regulation no. 679/2016 on the protection of individuals, regarding the processing of personal data and on the free movement of such data, in order to keep track of personal data processing activities performed.


Information note on the processing of personal data


This document contains essential information on how to process personal data in the services offered by WeTranslate both on the website and through email correspondence, but also the situation in which the customer shows up at our headquarters to provide us with documents that are subject to the requested services.


For the purposes of the definition of Art. 4.1 of Regulation (EU) 2016/679 (General Data Protection Regulation, hereinafter referred to as GDPR), personal data represent any information about an identified or identifiable natural person (“data subject”);


An identifiable natural person is a person who can be identified, directly or indirectly, in particular by reference to an identification element, such as a name, an identification number, location data, an online identifier or one or more specific elements of his physical, physiological, genetic, mental, economic, cultural or social identity.


When using the WeTranslate website / email or at our headquarters, you are required to provide the following information:

  • Name and surname, email address and contact telephone number,
  • The documents that are the subject of the services requested by you,
  • City / country where you are and / or want to deliver / provide the requested services;
Responsibility for processing personal data


Based on the acceptance of users / customers to use the wetranslate.ro platform as well as based on the services requested by WeTranslate customers, the personal data provided are processed as “authorized person” by:

Principles applicable to the data processing activity


In the data processing activity, WeTranslate applies the following basic principles:

  • The principle of minimizing the data collected, and ensuring the security and confidentiality of personal data processing;
  • Appointment of a data protection officer;
  • Establish deadlines for storage depending on the nature of the data and the purpose of the processing, as well as specific deadlines within which personal data must be deleted or revised for deletion.
  • Periodic training, regarding the obligations incumbent on them, of the persons who process personal data.
  • Rights of data subjects (eg right of access, right of rectification, right to portability, withdrawal of consent);
Data processing in the context of the general use of the website and WeTranslate services


When accessing the WeTranslate website, we will collect information about the access device and store this log data on our servers or our partners. The types of information we can collect are:

  • The types and versions of browsers used;
  • The operating system used to access the WeTranslate website;
  • Third party websites that access the WeTranslate website;
  • Date and time of accessing the WeTranslate website;
  • IP Address;
  • Internet Service Provider (ISP) of the access device;
  • Other similar information used to safeguard our IT systems from cyber attacks.

For security reasons (for example to be able to prevent / identify a possible cyber attack against the WeTranslate website), we may store the above information for a period of 30 days, after which we will anonymize or delete this data.


The processing and temporary storage of IP addresses is based on the provisions of Art. 6.1 letter f.) Of the GDPR, as the display of website content, respectively maintaining the security of our own IT systems / servers, is the legitimate interest of WeTranslate.

In order to perform our services for Legal Entity clients, we propose a contractual collaboration with them, as operators of personal data that we process in their interest.


In the event that a Legal Entity makes available to WeTranslate personal data of its own employees and / or its customers, the Legal Entity undertakes to have the consent of the persons subject to personal data, for the use / processing and transmission of those data to third parties, WeTranslate being absolved of any responsibility for obtaining the consent of the persons subject to personal data.


WeTranslate will process the data of the employees of the respective entities, such as their name, profession, telephone number, email address and / or any other data provided, these data being processed exclusively for the performance / provision of services offered by WeTranslate, within the relationship contractual or pre-contractual, according to the legitimate interest of WeTranslate.

Section 12 - Users' rights to personal data
The right to modify and delete data


WeTranslate ensures that the data subject has the right to change the contact details he / she has transmitted. You can also request the deletion of your data at any time before the provision of the services, in which case WeTranslate may not be obliged to provide the requested services.


In the event that the request for deletion of data occurs after the execution and payment of services, WeTranslate will delete the data provided, except for accounting / tax data and / or other data required by applicable law.


Your rights:


As a user of the WeTranslate website, according to the provisions of the GDPR, you have the following rights:

  • Right to access information – you can request information if your personal data is collected and processed by WeTranslate;
  • Right to rectification – you can request the rectification of your personal data, if necessary / the case;
  • The right to delete data (“the right to be forgotten”) – you may request the deletion of your personal data in some cases (eg the data collected is no longer necessary for the purpose for which it was collected);
  • The right to restrict the processing – you can request the restriction of the collection and processing of your personal data, in some cases;
  • Right to data portability – you can request that we pass on the data you have provided to us to a third party;
  • The right to object – you may object to the continued collection and processing of your personal data, under the conditions and within the limits provided by law;
  • Right to complain – you can lodge complaints with the data protection authority if you have evidence of a breach of personal data protection regulations.
Legal basis and term of processing of personal data


Based on obtaining the consent of the data subject in order to process personal data, they are processed in accordance with the provisions of Art. 6.1 lit a.) Of the GDPR.


If the processing is necessary for the execution of a contract to which the data subject is a party or to take steps at the request of the data subject before concluding a contract, the processing is performed based on Art. 6.1 lit b.) Of the GDPR.


If the processing is necessary in order to fulfill a legal obligation, it will be performed in accordance with the provisions of Art. 6.1 lit c.) Of the GDPR.


If the processing is necessary for the purpose of the legitimate interests pursued by WeTranslate, it will be carried out in accordance with the provisions of Art. 6.1 lit f.) Of the GDPR.

The processing of personal data is done for the following purposes:
  • To analyze the requested services and the documents underlying the requested services, in order to provide a commercial offer requested by the client;
  • To submit the commercial offer requested by the customer;
  • To contact the client in order to be informed about the requested offer / services provided;
  • To provide the services requested by the customer;
  • To issue tax documents, in accordance with the Tax Code in force;
  • To send electronic notifications regarding tax invoices;
  • To process online payment, by card, through the MobilPay platform;
  • To ship by express courier services the services requested by the customer.

The data provided by customers / users will be processed until the end of the purpose for which they were collected, respectively until the execution and delivery of the requested services, as well as the payment for the services provided.


In order to keep a backup archive of the services provided to customers, WeTranslate may keep a copy of all data / documents provided, as well as the services provided, for a period of 3 years from the date of execution of the services.


During the processing period, the data subjects have at any time the right to request the cessation of data processing, in which case WeTranslate will interrupt the services requested by the customer and will delete all data received from the data subject.

Section 14 - Empowerment of third parties for the processing of personal data
Empowering third parties for billing services, hosting and technical support activities


In order to provide the services, WeTranslate strictly restricts certain third parties, according to its legitimate interest, WeTranslate proxies processing the data exclusively for the purpose for which they were transmitted to them, pursuant to Art. 28 of the GDPR.


The following proxies will keep the personal data for the same period for which they are processed by WeTranslate, as follows:

  • File hosting services: Google Drive (Google LLC) and Zoho WorkDrive (Zoho Corporation Pvt. Ltd.)
  • Website hosting services: TLH (Top Level Hosting SRL)
  • Email hosting services: Zoho Mail (Zoho Corporation Pvt. Ltd.)
  • Ticketing services: Zoho Desk (Zoho Corporation Pvt. Ltd.)
  • Customer support services: Zoho CRM (Zoho Corporation Pvt. Ltd.)
  • Billing Services: SmartBill Cloud (S.C. Intelligent IT S.R.L.)
  • Card payment processing services: MobilPay (Netopia SRL)
  • Chat support services: Zoho SalesIQ (Zoho Corporation Pvt. Ltd.)
  • Courier services: TNT Express Worldwide N.V and FAN COURIER EXPRESS SRL
Section 15 - Use of Cookies, Search, Optimization and Advertising Tools
Cookies and other similar technologies


Individuals / legal entities may be associated with the online identifiers provided by their devices, applications, tools and protocols, such as IP addresses, cookie identifiers or other identifiers such as radio frequency identification tags. They can leave traces which, especially when combined with unique identifiers and other information received by the servers, can be used to create and identify profiles of individuals / legal entities.


A cookie is information transmitted to a user’s computer that identifies information about that data subject. WeTranslate and its affiliates use cookies to provide as safe, smooth navigation as possible and to monitor / store visitor preferences, for statistical purposes, to inform, optimize and serve announcements / advertisements based on previous visits made by a user on the website.
